Privacy policy

Garage Master Online ("Garage Master", "we", "us") is operated by Wolf Software Systems Ltd, registered in England & Wales (company no. 13679809), registered office Figflex Oak House, Reeds Crescent, Watford, England, WD24 4QP. This policy explains what personal data we collect, why, and your rights. Contact us about anything in this policy at sales@garagemasteronline.com.

What we collect

• Your account — name, email, phone, business name and address, and your password (stored hashed, never readable by us).
• Your garage's records — the customers, vehicles, bookings, invoices, health checks and staff records you enter. For this data your garage is the data controller and we act as your data processor: we store and process it only to provide the service, and never sell it or use it for marketing.
• Vehicle data — looked up from the DVLA, DVSA and UK Vehicle Data services when you enter a registration.
• Payment data — card details are collected and stored by Stripe, our payment provider. We never see or store full card numbers.
• Usage data — basic analytics (pages visited, device type) via Google Analytics on the marketing site, and technical logs needed to run and secure the service.

How we use it

• To provide the service you subscribe to (contract).
• To take payment and manage your subscription (contract).
• To send service messages — receipts, reminders you trigger, password resets (contract / legitimate interest).
• To improve the product and keep it secure (legitimate interest).

We do not sell personal data, and we do not send marketing to your customers.

AI features

The GM Fix-finder and in-app assistant are powered by Anthropic's Claude models. When you use them, the text you type (for example a vehicle problem description) is sent to Anthropic to generate the answer. Don't include personal data in those descriptions — a reg plate and a fault is all the Fix-finder needs.

Who we share data with

• Stripe — payments and subscriptions.
• ClickSend — SMS delivery, when you send texts or SMS reminders.
• Our email provider — delivery of emails you trigger (invoices, reminders, resets).
• Anthropic — AI features, as described above.
• DVLA / DVSA / UK Vehicle Data — registration lookups you request.
• Our hosting providers — the servers the service runs on, in the UK/EU.

Retention

Your data is kept while your account is active. If you cancel, your garage's data is retained for 90 days (so you can reactivate or export it) and then deleted. You can request earlier deletion, or an export of your data, at any time by emailing sales@garagemasteronline.com.

Your rights

Under UK GDPR you can request access to, correction of, export of, or deletion of your personal data, and you can object to or restrict processing. Email sales@garagemasteronline.com and we'll respond within one month. You can also complain to the ICO (ico.org.uk).

Cookies

The app uses only essential storage (your sign-in session and preferences). The marketing site uses Google Analytics cookies to measure visits; you can block these in your browser without affecting the site.
